Owl’s eye view

Description

A weekly email digest powered by automations and scripts that pull task details from Teamwork, organize them, and share them with division partners. Its purpose is to clearly convey all communications Mar-Comm is sending or testing that week.

There are two types of Owl’s Eye View (OEV) emails: the Main Overview and the Focus Emails.

  1. The Main Overview is for upper divisional leadership and relevant project partners across campus. It provides a snapshot of which emails are being sent that week.

  2. The Focus Emails are for the specific teams Mar-Comm supports. These give partners a more detailed look at email, web, print, and miscellaneous project testing scheduled for that week.

OEV also uses a new Airtable directory with an opt-in/opt-out automation system, allowing partners to choose exactly which updates they would like to receive.


Goals

To clearly and efficiently share all deliverable send times and testing periods with project partners. This ensures audiences are not over-emailed and provides visibility into the overall email workload managed by the Mar-Comm team.

1. Import Tasks

Every Monday at 1 AM, scripts run that pull in the following:

Task Conditions

  • Has not yet been completed

  • Due one week from Monday

    If task ID is already in Airtable database, skip it

  • Task name starts with one of the following:

    • Send email

    • Test ends

    • Test begins

    • Partner QA ends

    • Partner QA begins


Task Details:

  • Task Name

  • Task ID

  • Project Name

  • Deliverable

  • Due Date

  • Project Tags

    • Parents, Do Not Include (Focus), Do Not Include (Main Overview) etc.

  • Business Unit
